Job Context

To provide day to day operational support for the pharmacy program, including preparing and maintaining highly confidential material and files, assist in the development and implementation of regular on-going activities such as classroom scheduling and calendaring, completes all functions related to lecture and presentation capture including scheduling, editing, and all regular maintenance of capture system, course registration, degree audits, assessment activities, proctor and standardized patient management, scheduling distance pathway immersive sessions and assisting with housing arrangements and maintaining retention and progression data as well as special one-time projects assigned. This position reports to both the Dean of Student Affairs and Academic Affairs offices. Please include your salary expectations within your cover letter for consideration.

Job Description/Responsibility

Perform a variety of organizational and clerical duties (e.g. written communications, organize and maintain records, files and calendar of meetings, and type weekly reports).
Organize and manage the scheduling, recording, editing, compression, storage and distribution of classroom media.
Create and maintain multiple computer databases for student retention and progression.
Communicate effectively and professionally via telephone and email with different internal and external constituent groups.
Assist the Offices of Student Affairs and Academic Affairs in maintaining schedules.
Create or produce written documents/reports (letters, e-correspondence, meeting agendas, reports, etc.).
Maintain and update student records and files, many of which involve sensitive student records and information, the confidentiality of which is protected by federal and state law.
Develop and maintain classroom schedules and examination schedules including coordinating SAS accommodations.
Supervise, schedule, and approve time sheets for proctors and standardized patients.
Assist in event planning and scheduling for the office of Student and Academic Affairs.
In collaboration with the Senior Associate Dean for Academic Affairs, register students for elective and required courses; update and align student degree audits.
Maintain accurate and up-to-date budget information for the Office of Academic Affairs or as directed by supervisors and conduct budget reconciliation.

Education Requirements

Bachelor/ Honors(Bachelor Degree in any Discipline) completed.

Skills Requirements

Excellent interpersonal skills.
Strongly proficient in Microsoft Office applications (including Excel), email applications, Internet use, data entry, and database applications.
Ability to learn new software and databases.
Ability to maintain confidentiality.
Ability to interact effectively in a highly diverse professional environment.
Ability to multi-task.
