Job Description/Responsibility

About the role

This is an exciting opportunity for an experienced and passionate Executive Assistant to join a leading property development business based on St Kilda Road. The ideal individual will have previous property experience and ideally have a background in finance, accounting or mortgage lending.


As the Executive Assistant, you will provide support to two joint Managing Directors who operate different aspects of the business, support a busy and diverse development team and manage and delegate to junior Administrative staff within the business. Coupled with that you will be responsible for:

  • Diary management for one Director
  • Writing and formatting proposals and other documents
  • Liaising with various internal and external stakeholders
  • Updating and maintaining internal databases and systems
  • Creating and assisting with administration and marketing
  • Follow up and management of key development related documentation and information
  • Overseeing junior administration staff
  • Management of various structural and office focused projects
  • Assistance with overseeing and following up purchaser deposits and loan approvals

Skills Requirements

This role requires the successful candidate to have previous EA or PA experience and a strong understanding of the Property sector. It is crucial that the EA have some knowledge or background with accounting and/or finance processes. Coupled with this, you will require further experience such as:

  • Ability to work within a high volume, team environment
  • Ability to delegate tasks to internal administrators
  • Proactive, flexible approach to completion of work,
  • Good oral communication skills, including the ability to provide effective and appropriate advice and information to a variety of people and to use discretion with confidential information
  • Excellent written and communication skills
  • Strong organisational and administrative skills, including an ability to prioritise workloads, meet deadlines and manage a varied workload, in a busy professional environment
  • Demonstrated ability to take initiative in problem solving and in exercising judgement
  • Strong attention to detail
