Job Description/Responsibility

  • My client in Oxford is looking for an experienced receptionist who can not only create a friendly atmosphere but provide a professionally serviced reception area. You will be the first point of contact for incoming calls and also front of house reception meeting and greeting visitors along with general administration and facilities tasks.
  • Reception
  • u Meet, Greet by name and deal with visitors
  • u Answer incoming calls promptly and transfer calls within the Call Routing guidelines.
  • u Take messages accurately and pass on to relevant person at the earliest time.
  • u Ensure the reception area is kept tidy at all times
  • u Ensure deliveries into Reception are received correctly and distributed as soon as possible
  • u Ensure prompt delivery of faxes, voicemail and other messages to the relevant groups of individuals.
  • u Complete reception 'Open & Close' of the office.
  • u Prepare all meeting rooms for daily use
  • u Open and distribute post and frank out going post, as required dealing with 'special' deliveries.
  • u Ensure daily running of the Post Room, including stock and ordering of supplies.
  • u Ensure all guests have a name badge on entering the building
  • u Take the daily banking on a rota basis.
  • u Take all overflow calls from our London office and field them as necessary.
  • u Book all couriers and other transport delivery companies
  • u Record all Neopost recordings and be the first person of contact for the machine.
  • u To effectively manage the booking and allocation of Client car parking spaces
  • u Deal with client care matters as necessary, e.g. tea and coffee making, photocopying etc.
  • u To assist Support as and when required with Client Care and office needs
  • u To Monitor the Fire and disabled toilet alarms and maintain fire marshal register
  • u To monitor and manage canteen supplies including buying milk when necessary
  • u To be a team member and assist with requests made from time to time by Management
  • u Order adhoc supplies as and when requested.
  • You need to be able to work alone and also in a team, have a fun and friendly personality, be presentable and professional. Salary offered is £20 - £22k, 9.00 - 5.30pm Monday to Friday, life assurance x 5, 3% pension, excellent social events with a Summer and Xmas Party.
